Who We Are
  • M & DH Insurance Services Ltd are authorised and regulated by the Financial Services Authority (FSA), our firm reference number is 300789. We are permitted to arrange, advise on, deal as an agent of insurers and assist in claims handling with respect to non-investment insurance policies.  You can check these details on the FSA’s Register by visiting the FSA’s website http://www.fsa.gov.uk/register or by contacting the FSA on 0845 606 1234.

Explanation of Service
  • Our service includes advising you on your insurance needs, arranging your insurance cover with insurers to meet your requirements, and helping you with any ongoing changes you have to make.  As part of our service, we can also assist you with any claim you need to make.
  • When we receive information about an incident that might give rise to a claim under your policy we will inform the insurer without delay and, in any event, within 3 working days. We will advise you promptly of insurers’ requirements concerning claims, including the provision, as soon as possible, of information required to establish the nature and extent of a loss.
  • We will forward any payments received from insurers in respect of any claim, to you, without delay.
  • In arranging your insurance we deal with a number of insurers, details of these will be advised to you when we discuss your individual requirements prior to your commitment to proceed.
  • In carrying our duties as a professional Insurance advisor all telephone calls will be recorded for Training & Security purposes
  • Some of our services may not be covered by the FSA Code.When this is the case, we will give you details before you make a commitment on any product we offer you.
Market Security
  • We assess the financial soundness of the proposed (re)insurers and markets we recommend using public information including that produced by recognised rating agencies. However, we will not in any circumstances act as a (re)insurer nor will we guarantee the solvency of any (re)insurer or market used for your requirements. The decision regarding the suitability of any (re)insurer or market rests with you. If you have any concerns regarding any (re)insurer chosen for your (re)insurance requirements we will be pleased to discuss them with you.
General Terms
  • Employers Liability Certificates or Certificates of Insurance will not be released until the full premium has been paid or a method of payment has been agreed.
  • Method of payments: Payment may be by cash, cheque or certain credit cards.  Direct Debit facility may be available depending upon the particular Insurance Company used (subject to status).
  • The premium that has already been agreed includes all initial arrangement/administration charges on behalf of M & DH Insurance Services Ltd.
  • At all times, the Underwriters reserve the right to increase the premium, amend the terms or decline a risk that they may consider necessary.
  • Whether your policy is/is not based on a ‘Minimum & Deposit’ basis your acceptance of the premium set out in our quotation, confirmation of cover or renewal letter is conclusive and you will become liable for the full premium (including fees) and will not be entitled to cancel your acceptance. In the event of mid term cancellation or amendment in the projected figures provided during the year, there is no return premium due.
Your Duty to Give Information to Insurers
  • Your insurance is based upon the information provided to the insurance company and you must ensure that all such information is complete and accurate, and that any facts which may influence        
  • The insurer’s decision to accept the risk or the terms offered have been disclosed. The duty to disclose information   continues during the life of the policy, and at renewal you must make sure you inform your insurer of any changes affecting your insurance.
  • You are responsible for all answers or statements on proposal forms, claim forms or other material documents and you should ensure these are full and accurate.
  • Failure to disclose material information at the start of the policy or advise the insurer of changes to the risk during the period of insurance may invalidate your insurance cover and could mean that part, or all, of a claim may not be paid.

Information Required and Payment Terms

We normally require the following within fourteen days of inception, renewal or date of adjustment:-

  • Full payment or payment on agreed terms
Note 1 - Please note that if payment is not received within the agreed Period, M & DH Insurance Services Ltd reserve the right to levy a Cancellation Administration charge (see fees and charges). The administration charge will not exceed the equivalent commission payable on the annual premium.
  • Completed Proposal Form, Signed Declaration or Addenda.
  • 5 Years confirmed claims experience from previous Insurers.
  • Copy of Driving License (if applicable).
  • Evidence that survey requirements have been satisfied.
  • Annual End Of Year Declaration of Turnover and Wageroll figures.
Confidentiality
  • All personal information about you will be treated as private and confidential (even when you are no longer a customer), except where the disclosure is made at your request, with your consent, in relation to arranging your insurance or where we are required to by law.
  • As part of the FSA’s duties, we may be asked to provide them with access to our customer records in order that they may carry out a review of our activities.
  • Some or all of the information you supply to us in connection with your insurance proposal will be held on computer and may be passed to other insurance companies for underwriting and claims purposes.
  • In addition, we may use some of the information to advise you of other products and services offered by insurance companies and we may pass details to other carefully selected companies whose products and services we feel may be of interest.  If you do not wish to receive such details, please contact us.
  • We may pass information about you to credit reference agencies for the purpose of arranging payments by instalments, and may also pass to them records of your payment history with us.  Information about you may be exchanged by.
  • Under the Data Protection Act 1998 you have a right of access to see personal information about you that is held in our records, whether electronically or manually.  If you have any queries, please write to the Managing Director at the stated office.
Fees and Charges
  • Please refer to our tariff of administration charges for fees payable under these Terms of Insurance Business. These may apply if you instruct us to carry out a mid term adjustment, renewal, cancellation, etc on your behalf. The following prevailing rates will apply:
New policy administration fee
  • These will be declared to you at the time of inception

Mid term adjustment fee                                 £10:00

Renewal fee

  • These will be declared to you at the time of renewal
Mid term cancellation fee
  • These will be declared to you at the time of renewal (plus retention of the full annual commission)

Returned cheques charge                               £10:00

Duplicate cover note charge                           £20:00  

Time on risk charges:

  • In the event of cancellation due to non-payment default or non-compliance of the Terms & Conditions, a time on risk charge will be levied in accordance with the endorsement issued by the Underwriter and M & DH Insurance Services Ltd administration charge as detailed in above.
Payment Defaults:
  • A charge of £10.00 will be levied for any cheque which is returned by your bank which has to be represented and a charge of £20.00 will be made for any cheque which is not honoured by your bank.
Mid Term Alterations:
  • If you require any mid-term adjustments, we require your confirmation in writing before any amendment can be made.  Both the Insurers and M & DH Insurance Services Ltd reserve the right to levy a reasonable administration charge for all adjustments.  Full payment is required before the adjustment can be made.
Return Premiums:
  • If a return Premium, we repay the commission on the amount to your insurer and this will be deducted from the final amount due to you.
Law Applicable
  • As parties of the insurance contract, you and the insurer have the right to choose the law applicable to it.
  • In the absence of a specific agreement, the law of the country within the UK, in which you reside when the contract is concluded, will apply.
Compensation arrangements
  • We are covered by the Financial Services Compensation Scheme.  You may be entitled to compensation from the scheme if we cannot meet our obligations.  This depends on the type of business and the circumstances of the claim.  Insurance advising and arranging is covered for 100% of the first £2,000 and 90% of the remainder of the claim, without any upper limit.  For compulsory classes of insurance, insurance advising and arranging is covered for 100% of the claim, without any upper limit.  Further information about compensation scheme arrangements is available from the FSCS at http://www.fscs.org.uk/
Protecting your money
  • Prior to your premium being forwarded to the insurer, and for your protection, we either hold your money as an agent of the insurer (in which case your insurance is treated as being paid for), or we hold it in a client bank account on trust for you.  We may extend credit to other customers from this account and we may need to transfer your money to another intermediary in some cases.  However your money will be protected at all times because of the requirements of the FSA rules.  We also reserve the right to retain interest earned on this account.

By accepting these Terms of Insurance Business you are giving your consent for us to operate in this way.

Complaints
  • It is our intention to provide a high level of service at all times.  If, however, you have reason to make a complaint about our service, we have internal procedures for handling complaints fairly and promptly.  In the first instance you should contact the Managing Director at the address stated.
Our procedure is that:
  • Your complaint will be acknowledged within 5 business days.
  • Wherever possible, your complaint will be dealt with within 20 business days and if compensation or redress is felt to be appropriate details of this will be provided.  If it is felt that your complaint is not justified you will be provided with full reasons for this decision.
  • If it is not possible to respond to your complaint within 20 business days you will be advised of the reasons in writing and given a note of when you may expect a final response.
